Privacy Policy

This Privacy Policy explains what data DataExtract collects, how we use it, and the choices you have. We designed the service to retain as little of your document data as possible.

1. Information we collect

• Account data: your email address and a securely hashed password (we never store plain-text passwords).
• Documents you upload: images and files you submit for processing.
• Extracted output: the text, tables and structured data we extract, plus a small preview thumbnail of the first page.
• Usage & billing data: points consumed, documents processed, plan, and payment records (handled by Razorpay — we do not store full card details).
• Technical data: IP address and basic request logs for security and rate limiting.

2. How we handle your documents

You can delete any document — and its thumbnail and extracted data — from your library at any time.

3. Third-party AI sub-processors

To perform extraction we send document images and/or text to trusted AI providers strictly to deliver the service. Depending on the options you choose, these may include:

• Google Cloud Vision — text detection.
• OpenAI — GPT-4o vision/text for high-accuracy extraction and refinement.
• DeepSeek — optional text refinement.

These providers process the data on our behalf to return results and are subject to their own terms and security practices. We do not sell your data to anyone.

4. Payments

Payments are processed by Razorpay. When you pay, your payment details are handled directly by Razorpay under their privacy policy and PCI-DSS compliance. We receive only a transaction reference, amount, and status — never your full card or banking credentials.

5. How we use your information

• To provide and operate the OCR/extraction service.
• To manage your account, points balance, and billing.
• To secure the service (authentication, rate limiting, fraud/abuse prevention).
• To respond to support requests and send essential service notices.

6. Data retention

• Original uploads: deleted immediately after processing.
• Extracted text, structured data, thumbnails: kept until you delete the document or close your account.
• Account and transaction records: kept as required for accounting, tax and legal compliance.

7. Security

We use industry-standard measures including password hashing (bcrypt), hashed API keys, signed webhooks, and access controls. No system is perfectly secure, but we work to protect your data and limit what we retain.

8. Your rights

You may access, correct, export, or delete your data through your account, or by emailing support@dataextract.net. You can request deletion of your account and associated data at any time.

9. Children

The service is not directed to children under 16, and we do not knowingly collect their data.

10. Changes

We may update this policy; material changes will be notified via the service or email.
